Establishing a Sporting Club

Do you have a great idea for a new student club on the Caulfield Campus?  All you need is ten Caulfield student members, at least 2 student organisers and heaps of enthusiasm to get the ball rolling.  The steps below will help you on the road to setting up your own club.

Establishing a Non-Sporting Club

Registered Groups

All course-based, cultural, spiritual, social or interest-based (non-sporting) clubs must begin their lives as Registered Groups.  This is a trial period of sorts that helps your group to develop and grow without the hassle of lots of paperwork.  Unlike an affiliated club (the next step), a Registered Group operates outside the MONSU Caulfield financial system and does not have to complete affiliation paperwork. 

Applying to become a Registered Group

To apply to become a Registered Group, complete this application form and return to the MONSU Caulfield Service Desk, Level 2, S Building or email to catherine.gawler@monsucaulfield.org.au.

Once a completed application is submitted to the Clubs & Societies Coordinator, the MONSU Caulfield Student Council (as the primary student representative group on the campus) will then consider the application. 

Groups will generally be approved unless they are viewed to be:

  • Too similar to another Caulfield Registered Group or Affiliated Club
  • Set up for commercial gain
  • Not in the interests of or benefiting the Monash Caulfield student population
  • Not in the interests of Monash University

The organisers listed on the application will be contacted once Student Council has considered the application.  If your application is approved, our helpful Clubs and Societies staff will meet with you to discuss ways of assisting your group to achieve its goals as well as helping your group to access the following resources:

  • Club notice board space
  • MONSU and University meeting rooms (conditions apply)
  • MONSU publications and website
  • Club trestle table and chairs
  • Staff advice and assistance
  • Training workshops

Requirements of Registered Groups

If your application to form a Registered Group has been successful, download the New Registered Group Information Pack.

Registered Groups must conduct themselves in an appropriate and ethical manner for the good of their members and not for the financial benefit of members or organisers. The group must at all times uphold the good reputation of MONSU Caulfield and Monash University.

Registered Groups will be required to submit a report of their activities, finances and membership numbers annually. At the end of the twelve months a registered group can either apply to remain a registered group (if that works for them) or submit an application to become an Affiliated Club.

Affiliated Clubs

An affiliated club is a separate legal entity in its own right. This is the traditional method of operating a club at Caulfield. An affiliated club must hold general meetings, undertake annual statements, utilise a MONSU finance bank account and follow specific MONSU Caulfield operating procedures and rules. The affiliated club has numerous benefits over a registered group including a dedicated staff mentor, utilisation of the clubs resource room and telephone and photocopier access.

While the initial process of establishing a affiliated club can be time-consuming the over benefits of running a club in this method is extremely beneficial.

As well as the resources for registered groups, affiliated clubs also have access to:

  • Annual club grant provided by MONSU Caulfield
  • Club phone and photocopier access
  • Club locker
  • Use of the club resource room
  • Club Mentor
  • MONSU insurance coverage
  • Club account with MONSU Finance Service
  • Use of Coles Supermarket account and Monash vehicle hire
